Architectural Review Committee Application Process

On this page, you'll find the information and materials you'll need to submit an ARC application, including the link to the online process. Thank you in advance for reviewing the materials and helping us to keep Woodlake such a wonderful community!

  1. First, please read these guidelines as well as the Quick Start Guide at least one month before you'd like to start your project.   2. If your project needs approval, review the detailed requirements in Section 20 of the WHOA Handbook and submit an online application.

  3. Every application will need a project description, as well as applicable uploads, such as diagrams, plats, photos, color samples, and anything else that helps us understand the project. See a sample plan. You will also need to download the Neighbor Notification sheet to record the fact that you notified abutting neighbors and neighbors who can see your project about the work you plan. All documents must be uploaded to your online form in PDF format; photos should be uploaded as jpg’s. Tip: TinyScanner is a free app that you can download to your phone from the Apple or Android stores; simply snap a photo, and it will convert it to an easy-to-read PDF that you can submit!
    If you do not have internet access, the South Durham Regional Library provides access for cardholders.

  4. Once you have submitted your application, you will receive confirmation of submission and ARC will notify you of each change in status. Within 2-3 days we will review as well as notify you regarding any missing items. Once all materials have been received we will vote upon your project (normally within a week at the most). The more complete the application, the quicker it will be brought up for a vote.

  5. After the committee has reviewed and voted on your ARC application, the committee will get back to you with the decision, and you'll receive formal notice via email. Important Notes:

  • Applications will be reviewed for completeness within 2 days of submittal.

  • The applicants will be notified soon thereafter of any deficiencies, giving them an opportunity to amend the application prior to the ARC decision.

The ARC is responsible for the review and approval of all architectural changes such as exterior construction, remodeling, painting, and fencing. Mandatory review and written approval from the Architectural Review Committee (ARC) or the Board is required before any changes can be made to any lot or the exterior of any single-family home. This includes, but is not limited to, the construction, erection, installation, or alteration of any improvements (including color changes); major landscaping changes; and the removal of large trees or existing structures. A new proposal must be submitted to the ARC for each alteration or construction project.

The approval process is not complicated, but it is a requirement of the WHOA Protective Covenants, which exist for the mutual protection of the entire community. Please note that owners of Lake Village and Pineywood townhomes should first comply with their community's rules and apply to the townhome ARC or Board. The greater Woodlake ARC rules apply to single-family homes only.

If you determine that a change requires approval and you live in a single-family home, please complete the Architectural Approval Request Form and submit it to the Woodlake ARC.

If you live in a Lake Village townhome, please consult the Lake Village Townes Handbook for instructions.

If you live in Pineywood, please contact the Pineywood Board for information on how to proceed.

All trash, yard waste, and recyclables containers must be stored out of direct view from the street. (See WHOA Handbook section 20.5.10)

The purpose of ARC is to ensure that improvements and changes to homes are consistent with the character of the individual home and the neighborhood. In doing so, we also want to make the process of maintaining and improving your home as easy as possible. Please note the following clarifications and changes to ARC requirements:

  • Installing storm doors does not require ARC approval.
  • Replacing Masonite with Hardiplank siding of the same color does not require approval. This also applies to any maintenance project that leaves the visual appearance of the home unaltered in style, size or color.
  • Can't decide on a color for your home? Applications may contain multiple color combinations if a final decision has not been made. Up to three color combinations can be submitted with an ARC application.
  • Use of natural color stains on back decks do not require ARC approval.
  • Handicap-access ramps require approval to assure that they match the architecture of the home.
